Client Journey: From Concept to Completion
Follow the complete client journey from initial concept through design, fabrication, installation, and final reveal of a custom kitchen.
What to Expect at Every Stage of Your Project
The Making of a Custom Kitchen
Commissioning a custom kitchen is unlike any other home improvement project. It is part creative collaboration, part engineering exercise, and part construction project -- a journey that typically spans 5 to 8 months from first meeting to cooking your first meal. For most clients, this is their first time through the process, and the uncertainty about what happens at each stage can be as stressful as any design decision.
This article walks through the complete client journey as it unfolds in our practice. While every project has its own rhythm and complexity, the fundamental stages are consistent. Understanding them in advance removes surprise, sets realistic expectations, and helps you prepare for the decisions and actions required at each milestone.
We have refined this process over hundreds of projects across California, and we believe the structured approach -- while it requires patience -- consistently produces better outcomes than rushing from concept to construction.
Phase One: Discovery and Initial Consultation (Weeks 1-2)
The journey begins with a conversation -- typically a 90-minute on-site meeting at your home. We tour the existing kitchen, take preliminary measurements, photograph the space from multiple angles, and discuss the broader home architecture. But the most important part of this meeting is listening: understanding how you cook, how you entertain, who uses the kitchen, what frustrates you about the current space, and what inspires you.
We ask specific questions that inform every subsequent design decision. How many people typically cook at the same time? Do you bake? Do you have a wok or need high-BTU burners? How often do you entertain, and for how many guests? Do children do homework in the kitchen? Do you want a television? Do you prefer to face the room or the wall while cooking? The answers to these seemingly simple questions drive major layout and equipment decisions downstream.
We also discuss budget ranges, timeline expectations, and the scope of work -- whether this is a cabinet-and-countertop refresh or a full structural renovation. At the end of this meeting, both parties have a clear understanding of the project's aspirations and constraints. Within a week, we provide a written project proposal outlining the scope, estimated budget range, projected timeline, and our recommended approach.
Phase Two: Schematic Design (Weeks 3-6)
Once the proposal is accepted and the design retainer is received, detailed design work begins. Our design team conducts a precision site survey using laser measurement tools, capturing every dimension, window position, electrical outlet, plumbing location, and structural element to within 1/16 of an inch. This survey generates the base drawings from which all design work proceeds.
We then develop two to three schematic layout options -- floor plans that explore different arrangements of cabinetry, appliances, the island, and work zones within the space. Each option is presented with annotated floor plans and preliminary 3D perspective renderings that help you visualize the spatial relationships. We discuss the pros and cons of each layout relative to your cooking habits, entertaining patterns, and lifestyle priorities.
This phase typically involves two to three design meetings, each lasting one to two hours. By the end of schematic design, one layout direction is selected and refined, the general material palette is established (wood species, stone family, metal finish direction), and the appliance locations are confirmed. This is also when we coordinate with your architect or general contractor if structural modifications are part of the project.
Phase Three: Design Development and Material Selection (Weeks 7-12)
Design development transforms the schematic layout into a fully specified kitchen. Every cabinet is drawn in plan and elevation with exact dimensions, door styles, hardware locations, and interior fittings. Countertop edge profiles are specified. Backsplash layouts are designed. Lighting plans are developed. The 3D renderings become photorealistic, showing actual material textures, accurate lighting, and true-to-color finishes.
Material selection happens in parallel. We visit stone yards together to hand-select specific countertop slabs -- not just the stone type, but the individual slab that will live in your kitchen. We present hardware samples in multiple finishes for side-by-side comparison. We prepare wood finish samples on the actual species that will be used, showing each stain option on the exact grain pattern you will see in your cabinets. Tile samples are laid out in mock-up patterns. This tactile, in-person selection process is essential for making confident material decisions.
Appliance selections are finalized during this phase. We review specifications for each planned appliance, confirm electrical and plumbing requirements, verify clearances and ventilation needs, and coordinate delivery timelines with the construction schedule. Many premium appliances have 8 to 16-week lead times, so ordering early is critical. The design consultation process ensures nothing is overlooked.
Phase Four: Fabrication (Weeks 13-20)
Once the design is fully approved and the fabrication contract is signed, your kitchen enters production in our workshop. This is the quiet phase for clients -- there are no site visits or design meetings -- but it is the most intensive phase for our team. Every cabinet box, door, drawer front, and millwork piece is cut, assembled, sanded, and finished according to the approved drawings.
Fabrication typically takes 6 to 8 weeks for a full kitchen. The process follows a carefully sequenced workflow: material selection and rough milling in week one, CNC cutting and component fabrication in weeks two and three, assembly and hardware installation in weeks four and five, and finishing (staining, painting, or lacquering) in weeks five through seven. Quality inspection happens at every transition point, and we send photo updates to clients at key milestones.
Simultaneously, site preparation occurs at your home. The general contractor handles demolition of the existing kitchen, structural modifications, rough plumbing and electrical, drywall repairs, and flooring installation. We provide detailed drawings showing exact cabinet positions, electrical outlet locations, plumbing rough-in positions, and blocking requirements for heavy items like wall ovens and range hoods. Precise coordination between our fabrication timeline and the site preparation schedule is essential for a smooth installation.
Phase Five: Installation and Completion (Weeks 21-24)
Installation is when months of planning and craftsmanship come together in your space. Our installation team typically requires 5 to 8 working days for cabinet installation, depending on the project's complexity. Cabinets are delivered in protective packaging and installed sequentially, starting with the base cabinets, then upper cabinets, then the island, then decorative millwork and trim.
After cabinet installation, the countertop fabricator templates the stone in place (measuring directly from the installed cabinets for perfect fit), then fabricates and installs the countertops approximately one week later. Backsplash tile is set after countertop installation. Appliances are delivered and connected. Plumbing and electrical trim-out (faucet installation, outlet cover plates, light fixture mounting) completes the picture. The installation process is the culmination of every decision made in the preceding months.
The final step is a detailed walkthrough with our team. We demonstrate every feature -- soft-close mechanisms, pull-out storage systems, lighting controls, appliance functions -- and review the care and maintenance guide specific to your kitchen's materials. We address any punch-list items on the spot or schedule follow-up as needed. Then we hand you the keys to a kitchen built exactly for you, by people who care deeply about the craft.
After Completion: Ongoing Support
Our relationship does not end at installation. We provide a one-year warranty on all cabinetry and millwork, covering materials and craftsmanship. We schedule a complimentary 90-day check-in visit to inspect hinges, drawer slides, finish condition, and any settling that may have occurred. And we remain available indefinitely for questions, adjustments, and future projects. Many of our best client relationships have spanned multiple kitchens across different homes over decades.
The custom kitchen journey requires patience, trust, and active participation. But the reward -- a kitchen that fits your life precisely, built with materials and craftsmanship that will serve your family for decades -- is worth every moment of the process.
